Privacy Policy
This Privacy Policy explains how HaulFoundry LLC ("HaulFoundry," "we," "us," or "our") collects, uses, stores, discloses, and protects information when customers and authorized users use our websites, applications, software, support channels, billing services, and related services. HaulFoundry is a business-to-business operations platform primarily designed for trucking companies and transportation operations in the United States.
1. Information We Collect
Account and user information. We may collect names, business email addresses, workspace or company membership, user roles, permissions, terminal access, authentication-related information, account status, and related account details.
Driver, employee, contractor, and external-provider information. Customers may enter names, business contact information, phone numbers, availability, work status, assigned vehicles or units, driver's-license expiration dates, medical-card expiration dates, qualification statuses, external-provider information, and related operational data.
Company and operational information. Customers may provide company and terminal information, dispatch runs and stops, schedules, recurring runs, assignments, tractor and trailer information, external coverage, fleet records, maintenance information, unit-number history or aliases, exceptions, availability, compliance-related dates, notes, imported spreadsheet/report data, and related operational information.
Billing and subscription information. When a customer purchases a paid subscription, HaulFoundry may receive billing contact information, plan and subscription status, invoice and transaction identifiers, payment status, tax-related billing information, and limited payment-method metadata made available by a payment processor. Raw payment-card or bank-account credentials are not intended to be stored in HaulFoundry's core application database.
Technical, security, and activity information. HaulFoundry and service providers may collect IP addresses, browser and device information, login timestamps, session and request metadata, error logs, security events, audit or administrative events, diagnostic information, and similar data needed to operate, secure, troubleshoot, and improve the Service.
2. Sensitive Information and Data Minimization
HaulFoundry is not designed or intended to collect or store Social Security numbers or taxpayer-identification numbers; driver's-license or passport numbers or images; payment-card or bank credentials; passwords or authentication codes; medical diagnoses, treatment records, genetic information, or detailed medical records; biometric identifiers; payroll records; or similarly high-risk information unless HaulFoundry expressly adds and documents a feature that requires such information.
HaulFoundry may support limited operational fields such as driver's-license expiration date, medical-card expiration date, qualification status, and maintenance or compliance dates. Customers should avoid entering detailed medical, disability, family-medical, financial, or identity information into free-text fields or support communications unless a documented feature requires it.
3. How We Use Information
We may use information to provide and operate the Service; authenticate users; manage accounts, roles, permissions, and workspaces; synchronize data across devices; process imports and exports; provide dispatch, fleet, maintenance, compliance-date, scheduling, coverage, and operational functionality; administer subscriptions and billing; send account, invitation, billing, security, operational, support, and privacy communications; provide support; investigate errors; maintain reliability; detect and prevent fraud or misuse; enforce agreements; protect legal rights; and comply with applicable law.
HaulFoundry may create and use aggregated or de-identified information for product usage analysis, reliability, security, benchmarking, troubleshooting, feature improvement, and business planning, provided the information is handled in a manner designed not to reasonably identify a customer or individual. HaulFoundry does not sell or license identifiable customer benchmarking data.
4. Customer Data and Privacy Roles
Customers retain ownership of Customer Data. HaulFoundry does not claim ownership of customer dispatch information, driver information, fleet records, maintenance information, schedules, assignments, or other customer operational information.
For personal information in Customer Data that HaulFoundry processes on a customer's behalf, the customer generally determines the purposes and means of processing and is generally the controller, business, or comparable regulated entity, while HaulFoundry generally acts as a processor, service provider, contractor, or comparable service provider, subject to applicable law and any DPA.
Customers are responsible for lawful collection, notices, permissions, consents, employment or contractor obligations, privacy rights, and other legal bases applicable to Customer Data. HaulFoundry may separately act as a controller or business for its own account administration, service security, billing, support, fraud prevention, legal, and corporate records.
5. Driver and Employee Information Provided by Customers
HaulFoundry generally receives driver, employee, contractor, and similar personnel information from the customer organization rather than directly from the individual. If an individual asks HaulFoundry to change a business record controlled by a customer, HaulFoundry may direct the individual to the organization that controls the applicable workspace.
Deleting an individual user login does not necessarily delete historical business records such as dispatch assignments that remain controlled by the customer organization or are reasonably needed for legitimate business, security, legal, or recordkeeping purposes.
6. Service Providers and Subprocessors
HaulFoundry uses third-party providers to operate the Service. Current or anticipated provider categories include cloud database and authentication, application and website hosting, email delivery, business communications, payment processing, and related infrastructure.
Current or anticipated providers include Supabase for authentication, database/backend functionality, and Live Sync; Vercel for application and website hosting; Resend for transactional and invitation email delivery and supported inbound report/email processing; Google Workspace for business, support, privacy, and legal communications; and Stripe for payment processing, subscription billing, invoices, and related billing services. Provider roles and services may change over time.
HaulFoundry requires or expects providers acting on its behalf to process information consistently with applicable contractual and legal obligations. HaulFoundry may maintain a current subprocessor list or provide it through a DPA or legal/security page.
7. Customer-Selected Third-Party Services
Customers may choose to import or use information originating from customer-selected third-party fleet-management platforms and other external systems. Customers may independently obtain, export, upload, or direct scheduled reports or other supported data to a HaulFoundry-controlled import address or workflow. Those external systems operate under their own terms and privacy policies and are not necessarily HaulFoundry subprocessors merely because Customer directs data from them to HaulFoundry.
HaulFoundry may use its own email, hosting, database, or infrastructure providers to receive and process customer-directed reports or imports. If HaulFoundry sends Customer Personal Data to another third party on HaulFoundry's behalf to provide the Service, HaulFoundry will evaluate whether that provider should be treated as a subprocessor or service provider and update disclosures as appropriate.
8. Sale, Targeted Advertising, and Marketing
HaulFoundry does not currently sell Customer operational data or personal information for money, rent customer email addresses to advertisers, or use customer dispatch, fleet, driver, maintenance, or other operational information for cross-site behavioral advertising or targeted advertising unrelated to the Service.
If advertising, analytics, or data-use practices materially change, HaulFoundry will update this Privacy Policy and provide notices or choices required by applicable law.
If HaulFoundry sends promotional email, it will provide appropriate unsubscribe or preference-management options. Account, billing, security, invitation, operational, support, and privacy communications may remain necessary while an account or relationship is active.
9. Cookies, Browser Storage, and Similar Technologies
HaulFoundry may use essential cookies, browser storage, session technologies, and similar mechanisms to keep users signed in, remember settings, support authentication, synchronize information, prevent abuse, and operate the Service. Limited first-party or service-provider diagnostics may be used to understand performance, reliability, security, or feature usage.
10. Retention
HaulFoundry generally retains customer and user information while an account or workspace remains active. When a subscription or workspace is canceled, HaulFoundry may retain workspace data for up to 30 days to allow recovery or reactivation unless an authorized customer requests earlier deletion or a different period applies.
After an applicable recovery period or verified eligible deletion request, HaulFoundry may begin removal of workspace data from active production systems. Active-system deletion is ordinarily intended to be completed within a reasonable period, and the Account & Data Deletion Policy may describe a target of up to 30 days, subject to technical, security, legal, dispute, fraud-prevention, and operational exceptions.
Billing, invoice, transaction, tax, accounting, agreement-acceptance, security, audit, fraud-prevention, chargeback, dispute, legal-process, deletion-request, and legal-defense records may be retained longer where reasonably necessary or legally required. Retention periods vary by category and may be governed by an internal retention schedule.
Residual information may remain temporarily in backups or disaster-recovery systems until overwritten through normal provider retention cycles. If backups are restored, HaulFoundry intends to reapply applicable deletion requirements when reasonably practicable. HaulFoundry does not promise deletion from each immutable backup on an individual basis.
11. Security
HaulFoundry uses reasonable administrative, technical, and organizational safeguards designed to protect personal and operational information. Measures may include authenticated accounts, role-based permissions, workspace access controls, secure invitations and recovery processes, encrypted HTTPS connections, database access controls, secret-management practices, logging or monitoring, and security features provided by infrastructure providers.
No method of storage, transmission, authentication, or security can guarantee absolute protection. HaulFoundry does not guarantee that unauthorized access, disclosure, loss, or misuse will never occur. Additional security information may be provided in a Security Overview or DPA.
12. Privacy Rights and Requests
Users may contact privacy@gethaulfoundry.com to request access to, correction of, or deletion of personal information associated with their HaulFoundry account. Authorized workspace owners may request deletion of their organization's workspace and operational information. HaulFoundry may verify identity and authority before acting.
Where HaulFoundry processes information on behalf of a customer, an individual may be directed to the customer that controls the relevant workspace. HaulFoundry will provide reasonable assistance to customers with applicable privacy requests where required by law and reasonably feasible.
Depending on residence, the nature of the information, the user's relationship to a business customer, and applicable law, additional rights or appeal mechanisms may apply. Requests may be denied or limited where permitted by law.
13. Security Incidents
HaulFoundry maintains reasonable procedures for identifying, investigating, containing, documenting, and responding to suspected security incidents. Where a confirmed incident involving personal information requires customer notification under applicable law or contract, HaulFoundry will provide notice in accordance with those obligations and provide reasonably available information regarding the nature and mitigation of the incident.
Incident notification does not constitute an admission of fault or liability. Unless a separate written agreement requires otherwise, HaulFoundry does not make a universal fixed-hour notification promise for every event.
14. Legal Requirements and Protection of the Service
HaulFoundry may access, preserve, use, or disclose information where reasonably believed necessary to comply with law, regulation, subpoena, court order, warrant, government request, or other valid legal process; investigate fraud or security events; protect HaulFoundry, customers, users, or third parties; prevent misuse; enforce agreements; or preserve information subject to a legal hold.
Where legally permitted and reasonably practicable, HaulFoundry may notify an affected customer before disclosure.
15. Business Transfers
If HaulFoundry is involved in a merger, acquisition, financing, investment, reorganization, sale of assets or equity, change of control, insolvency, or similar transaction, information associated with the Service may be disclosed or transferred as reasonably necessary for that transaction, subject to applicable law and continuing privacy obligations. HaulFoundry may provide notice if a transaction materially changes how information is handled.
16. United States Focus and International Use
HaulFoundry is currently designed and marketed primarily for customers and users in the United States. HaulFoundry is not currently marketing the Service specifically into jurisdictions that require additional international privacy frameworks. If geographic scope changes, HaulFoundry may update this Privacy Policy and implement additional measures as appropriate.
17. Children
HaulFoundry is a business service intended for adults and is not directed to children. Users must be at least 18 years old to create or administer a HaulFoundry business account. HaulFoundry does not knowingly seek personal information from children through the Service.
18. Changes to This Privacy Policy
HaulFoundry may update this Privacy Policy as the Service, providers, practices, or legal requirements evolve. Material changes may be communicated through the Service, email, website notice, revised effective date, or another reasonable method. Where required by law or appropriate to the nature of the change, additional consent or acknowledgment may be requested.
