Account & Data Deletion Policy

Last Updated: September 24, 2026

This policy explains how HaulFoundry LLC handles requests to delete individual user accounts, customer workspaces, and associated data. Cancellation of a paid subscription and deletion of an account or workspace are separate actions.

1. Individual User Account Deletion

A HaulFoundry user may request deletion of the user's individual login account through any supported in-product deletion mechanism or by contacting privacy@gethaulfoundry.com or support@gethaulfoundry.com. HaulFoundry may take reasonable steps to verify identity and will not ask for the user's password.

Deleting an individual login does not necessarily delete operational records controlled by the user's employer or organization. Historical dispatch assignments, audit information, billing records, or other business records may remain where controlled by the customer organization or reasonably necessary for legitimate business, legal, security, or recordkeeping purposes. Where appropriate, individual profile or credential information may be deleted, restricted, or de-identified while underlying business records remain.

2. Workspace and Company Data Deletion

Only a workspace Owner or another person whose authority to act for the customer organization has been reasonably verified may request deletion of an entire workspace. HaulFoundry may verify identity, workspace, organization, role, and authority before proceeding.

If the workspace has an active paid subscription, Customer may need to cancel or otherwise resolve the subscription before final workspace deletion. Billing cancellation and workspace deletion remain separate steps.

3. Cancellation Is Not Deletion

Canceling a paid subscription normally prevents future renewal charges and allows continued access through the end of the current paid billing period unless otherwise stated. Cancellation does not automatically delete the workspace or Customer Data.

After paid access ends, a canceled workspace may enter a restricted recovery period of up to 30 days unless an authorized customer requests eligible earlier deletion, a separate written agreement applies, or legal, security, fraud-prevention, dispute, or technical circumstances require different handling.

4. Verified Deletion Requests and Active-System Removal

After HaulFoundry verifies an eligible deletion request, or after the applicable recovery period expires, HaulFoundry may begin removing applicable workspace data from active production systems. HaulFoundry intends ordinary active-system deletion to be completed within a reasonable period and generally within 30 days after the eligible deletion process begins, subject to legal holds, technical limitations, backup architecture, fraud prevention, security, dispute resolution, chargebacks, enforcement, and information that may lawfully or necessarily be retained.

Once data is permanently removed from active systems and the applicable recovery period has ended, HaulFoundry may not be able to restore it.

5. Backups and Disaster Recovery

Residual copies may remain temporarily in backups, replicas, or disaster-recovery systems until overwritten through normal provider retention cycles. HaulFoundry does not promise individualized deletion from each immutable backup before ordinary overwrite.

If a backup containing deleted data is restored, HaulFoundry intends to reapply applicable deletion requirements when reasonably practicable.

6. Information That May Be Retained Longer

HaulFoundry may retain limited information after account or workspace deletion when reasonably necessary or legally required. Examples may include billing, invoice, transaction, tax, accounting, agreement-acceptance, fraud-prevention, security, audit, chargeback, dispute, legal-process, deletion-request, enforcement, and legal-defense records.

Payment processors and other independent providers may maintain records under their own legal obligations, terms, retention practices, or policies. A HaulFoundry deletion request does not automatically erase information a third party independently controls or is required or permitted to retain.

7. Legal Holds and Preservation

A valid legal hold, court order, subpoena, investigation, fraud concern, security incident, chargeback, dispute, or other legal obligation may temporarily override routine deletion for the information reasonably necessary to satisfy that obligation. When the preservation need ends, ordinary retention and deletion rules may resume.

8. Aggregated and De-Identified Information

HaulFoundry may retain information that has been aggregated or de-identified so that it does not reasonably identify the customer or individual, subject to applicable law. HaulFoundry will not intentionally re-identify such information except where reasonably necessary for lawful validation, security, fraud prevention, or another permitted purpose.

9. Export Before Deletion

Customers should export supported information they want to keep before requesting permanent workspace deletion or before the applicable recovery period expires. HaulFoundry is not required to maintain indefinite post-termination access or custom migration services. Custom export or migration assistance may be separately agreed and charged.

10. Information to Include in a Request

A deletion request should identify the requester, the email address associated with the account, the applicable workspace or company, whether the request concerns an individual user account or the entire workspace, and any additional information reasonably necessary to verify identity and authority. Do not send passwords, Social Security numbers, driver's-license numbers, payment-card numbers, authentication codes, API keys, or other unnecessary sensitive information.
